What are the basics I need to know about the documents in bexio?

The following basic distinction applies: bexio sources the data for the online preview from the company profile (incl. logo). In addition, bexio uses a default letterhead paper, which – like the online preview itself – draws its data from the company profile. Consult the report "Company profile & logo" for more information on the company profile.

You can also upload your own letterhead in bexio. If you have saved your own letterhead, the PDF documents no longer access the company profile but rather the letterhead.

How do I use my VAT no., sales tax. ID no. and bank details in bexio?

If you use the bexio default letterhead, you can save the VAT no., sales tax. ID no. in your company profile. Consult the report "Company profile & logo" for more information on the company profile. The numbers are automatically included in the footer of the bexio default letterhead in PDF format. The default bank account saved for the documents is also included in the footer.

If these values are not included, you have presumably uploaded your own letterhead in bexio and saved it as the default document type. If you have done this, the information from the company profile and bank account cannot be transferred. Consult the report "Edit document settings - Set defaults" for more information on how to adjust the default letterhead of the document types.

 

Own letterhead 

If you use your own letterhead, the best way to insert your VAT no. and sales tax ID no. is directly via the letterhead itself. This allows you to position them exactly where you want to on your stationary, for example below your company address.

It is also recommended that you insert your bank details directly in the letterhead. This means you can use a neutral stationary template for offers, for example, and one with the VAT no. and bank details for invoices.

Alternatively, you can insert these details in the default header and footer texts or in the payment conditions. Consult the report "Personalize bexio - Save your own letterhead: for more information on how to upload your own letterhead in bexio.
